EqipO Privacy Policy
Last updated: 7 August 2026 · Provider: Blackburn Projects · Contact: blackburnxprojects@gmail.com
EqipO is a workforce tool for equipment operations. It is issued by an employer to its own staff. There is no public sign-up: accounts are created by an administrator at your organisation.
Who controls your data
Your employer is the data controller. Blackburn Projects provides the software. Each organisation runs its own EqipO backend, and data is not shared between organisations.
If you want your data corrected or deleted, contact your employer's EqipO administrator first — they can do it directly.
What EqipO collects
Account information. Username, display name, role (administrator or operator), and a password. The password is stored only as a bcrypt hash and is never readable, including by us.
Work records you enter. Clock-in and clock-out times, equipment inspections, fuel logs, incident reports, expenses, remarks and notes, and answers to safety check questions.
Equipment and site records. Machine names, plate numbers, status, meter readings, and site names and addresses entered by your administrator.
Files you upload. Photographs and PDF documents you attach to a record. You may take a photograph with the camera or choose an existing one from your device, and only the pictures you pick are uploaded — EqipO cannot read the rest of your photo library.
Where the machine is, while your shift is open. If your employer has switched on site tracking, the app records your device's position a few times while you are clocked in, to note which project location the machine is working on. Nothing is recorded before you clock in or after you clock out.
If your employer additionally switches on automatic clock-out, the app asks for precise location and samples it more often while your shift is open, so that a shift can be closed when you leave the site. Your employer is told this is on, and the app says so on the screen where you log work. Without that setting the app asks only for approximate location.
Technical information. A device identifier used to deliver notifications, your app version and platform, your chosen language, and server logs containing the time, endpoint and result of your requests.
What EqipO does not collect
- No advertising identifiers. There is no advertising in EqipO.
- No contacts, microphone or calendar access.
- No location in the background, and none at all outside an open shift. The app does not run location when it is closed, and does not use Android's background location permission.
- No browsing of your photo library. The picker hands EqipO only the picture you chose.
- No analytics or tracking SDKs.
- No biometric data.
Location is tied to the shift, not to you: it starts when you clock in, stops when you clock out, and is used to say where the machine is working and — where your employer has enabled it — to close a shift you have driven away from. It is never used to build a picture of your movements outside work, and it is not shared with anyone outside your own organisation.
Why it is collected
| Purpose | Data used |
|---|---|
| Sign you in and keep you signed in | Account information |
| Attribute work to the right person | Account information, work records |
| Payroll, safety and compliance records for your employer | Work records |
| Deliver safety check notifications | Device identifier, language |
| Record which site a machine is working on | Device location, while a shift is open |
| Close a shift when you leave the site, if your employer enables it | Precise device location, while a shift is open |
| Evidence on fault reports and safety checks | Photographs you choose to attach |
| Diagnose faults and detect abuse | Technical information |
We do not use your data for advertising, profiling, or automated decisions that have a legal effect on you.
Who it is shared with
Your data is visible to administrators at your own organisation, and to you.
It is not sold, rented, or shared with advertisers or data brokers. It is shared with two categories of third party only:
- Your organisation's hosting provider, which stores the database on your employer's behalf.
- Google Firebase Cloud Messaging, if your organisation enables push notifications. Google receives a device token and the notification text in order to deliver it. See Firebase privacy.
We disclose data to law enforcement only where legally required.
What operators can and cannot see
Operators can only see their own timesheets, fuel logs, inspections, incidents and safety check answers. This is enforced by the server, not just hidden in the app. Administrators at your organisation can see records across the whole fleet.
How long it is kept
Work records are retained by your employer for as long as they need them, typically to meet payroll and workplace safety obligations. Retention is set by your organisation, not by us.
Device tokens are deleted when you sign out or when the device stops responding.
Security
- Passwords are hashed with bcrypt and never stored in readable form.
- All traffic is encrypted in transit over HTTPS.
- Sessions expire automatically, and disabling an account revokes access immediately.
- On your phone, the session token is held in the operating system's secure storage (Android EncryptedSharedPreferences, iOS Keychain).
- Android backup and device-to-device transfer are disabled for EqipO so a signed-in session cannot be copied to another device.
No system is perfectly secure, but we take these measures seriously and fix reported issues promptly.
Your rights
Depending on where you live, you may have the right to access, correct, delete, export, or restrict processing of your personal data, and to object to it.
Contact your organisation's EqipO administrator, or email blackburnxprojects@gmail.com and we will route your request to the right controller.
Children
EqipO is a workplace tool intended for people aged 18 and over. It is not directed at children and we do not knowingly collect data from them.
Permissions the app requests
| Permission | Why |
|---|---|
| Internet, network state | Communicate with your organisation's server |
| Notifications | Deliver safety checks while you are on duty. You may decline; the app still works |
Changes
If this policy changes materially, the date at the top will be updated and active users will be notified in the app.
